SOFTWARE & PRODUCTIVITYSubscription cancellation guide

How to cancel QuickBooks subscription.

Sign in to the Intuit Account Manager at accounts.intuit.com, select Products and billing, then your company name, find the product you wish to cancel and select Cancel, then follow the on-screen steps. Intuit states the steps vary based on where you signed up, so an App Store or Google Play signup has to be cancelled in that store instead. The fact that decides what you do next: Intuit states that when you cancel your QuickBooks Online subscription you have read-only access to your QuickBooks Online data for one year, and that read-only access lets you export data to Excel or to a desktop version of QuickBooks. A cancelled free trial is far shorter at 90 days. QuickBooks Payroll and QuickBooks Payments are separate subscriptions that keep billing unless you cancel each of them in its own place.

Before you start.

  • Export before you cancel. Intuit recommends you export or print your data before you cancel, and states that read-only access lets you export data to Excel or to a desktop version of QuickBooks.
  • Know your window. Intuit states you have read-only access to your QuickBooks Online data for one year after cancelling. If you cancel during a free trial or let the trial expire, it states your data is available for 90 days instead.
  • One useful wrinkle: Intuit states that if you hold multiple subscriptions, keeping at least one active preserves read-only access rather than starting the one year clock.
  • List every Intuit product you pay for. QuickBooks Payroll, QuickBooks Payments, QuickBooks Time and QuickBooks Self-Employed are separate subscriptions with their own cancellation processes, and cancelling QuickBooks Online leaves them running.
  • Payroll has a cost attached to leaving. Intuit states it will charge you $150.00 if you request it to prepare year-end filings or W-2s after you cancel, so consider the timing against your payroll year.
  • Check the refund rule before you act. Intuit states that if you purchased a QuickBooks Desktop product or an annual subscription for QuickBooks Online and it is within 60 days of the purchase date, you are eligible for a refund, and that the 60 day money-back guarantee does not apply to monthly QuickBooks Online subscriptions.
  • There is no proration. Intuit states it does not provide refunds or credits for any cancellations or partial subscription period, that cancellations take effect the day after the last day of the current subscription period, and that you can continue to access and use the service until the end of your subscription period.
  • If an accountant set up your subscription, you may not be the one paying. Intuit's ProAdvisor Preferred Pricing lets a firm pay for QuickBooks Online while the client pays for add-ons, and a client can only remove themselves from that arrangement if they are the primary administrator.
  • Intuit states that removing an Intuit mobile app from your device may not cancel your subscription or delete your data.
  • A suspended account cannot be cancelled as it stands: Intuit requires you to resubscribe or reactivate before you can cancel.

FOLLOW THE RIGHT BILLING ROUTE

Cancel QuickBooks, step by step.

Cancel QuickBooks Online

This is the route for the accounting subscription bought from Intuit. Note that it runs through the Intuit Account Manager rather than the gear menu inside QuickBooks.

  1. Export or print the data you need first, since access becomes read-only.
  2. Sign in to the Intuit Account Manager at accounts.intuit.com.
  3. Select Products and billing, then select your company name.
  4. Find the product you wish to cancel, then select Cancel.
  5. Follow the on-screen steps to confirm.
  6. Check your remaining Intuit products on the same page, since Payroll and Payments do not cancel with it.

Intuit states the steps to cancel vary based on where you signed up, that a Google Play cancellation is unavailable through the mobile app, and that QuickBooks Online Accountant cannot be cancelled because it is a free program. An Intuit Enterprise Suite subscription needs account manager assistance.

Cancel QuickBooks Payroll separately

This is the charge people miss most often. Payroll is its own subscription and it keeps billing after QuickBooks Online ends.

  1. Open QuickBooks and select Settings, then select Subscriptions and billing.
  2. Find the Payroll section.
  3. Select Cancel.
  4. Complete the online cancellation form Intuit presents.
  5. Download the payroll reports, filings and W-2s you need while you still can.
  6. Check your final pay run and tax deposit dates before you confirm the date the cancellation takes effect.

Intuit states it will charge $150.00 if you request it to prepare year-end filings or W-2s after cancellation. It states payroll data access lasts one year after cancellation, that Desktop Payroll Assisted customers return through the Canceled Client Payroll Tax Center for 12 months, and that other Desktop Payroll versions retain payroll data but cannot recreate tax forms.

Close a QuickBooks Payments account

Payments lives in a different system entirely, so nothing in QuickBooks Online will close it.

  1. Sign in to the Merchant Service Center as an admin.
  2. Open the Account tab.
  3. Select Account Profile.
  4. Select Close Account.
  5. Choose a Reason for closing, then select Submit.
  6. Watch for the confirmation email, which Intuit states arrives within one business day.

Intuit states you can still sign in to the Merchant Services Center for up to 12 months after you cancel, to reach reports, statements and tax forms. It also states that if you cannot locate the Close Account option you should contact support, as it may indicate a permissions issue with your admin status.

Cancel a QuickBooks Desktop subscription

Desktop is a different product with a different portal, and unlike QuickBooks Online the software keeps opening afterwards in a degraded mode.

  1. Log in to CAMPs at camps.intuit.com.
  2. Select the account you want to change.
  3. Open Products and Services.
  4. Find the subscription and select Details.
  5. Select Cancel Service, then Continue to cancel, then Cancel Now.
  6. Back up your company file, and note that Intuit states it keeps Intuit Data Protection backed-up files for 30 days after you cancel.

Intuit states that in view-only mode you can view reports but cannot create any transactions, that this lasts 1 year after the subscription ends, and that third-party apps, attachments on transactions, Advanced Inventory, Advanced Pricing and multi-user mode are blocked. View-only mode is only available on Desktop for Windows 2023 R3 and later, Mac Plus 2024 and later, and the Plus and Enterprise editions.

A subscription your accountant pays for

Under ProAdvisor Preferred Pricing, the accounting firm is billed rather than you. This changes who can cancel and what happens when they stop.

  1. Check whether your accountant is billed: if you have never entered a card for QuickBooks Online, they probably are.
  2. If you want to take over the subscription, note that Intuit states clients can remove themselves from the accountant-billed plan and pay for the subscription themselves, but must be the primary administrator to do so.
  3. Expect a different price: Intuit states the subscription will not be at the same rate the accountant paid, because that carried a ProAdvisor discount.
  4. If your accountant transfers billing to you, add a payment method promptly.
  5. If you want the whole thing to end, ask the accountant to cancel it on their side, since the subscription is theirs to stop.

The trap Intuit documents: after a transfer of billing, the client has read-only access to their QuickBooks company until they update their billing info. Intuit also states the accountant is notified by email if a client removes themselves from the plan.

What happens next?

  • Access does not end on the day you cancel. Intuit states cancellations take effect the day after the last day of the current subscription period, and that you can continue to access and use the service until the end of your subscription period.
  • Then the data goes read-only rather than disappearing. Intuit states you have read-only access to your QuickBooks Online data for one year, and that this lets you export data to Excel or to a desktop version of QuickBooks.
  • A trial is the short version. Intuit states that if you cancel during a free trial, or let it expire, your data is available for 90 days.
  • Intuit states it does not provide refunds or credits for any cancellations or partial subscription period, so a mid-period cancellation is not prorated.
  • Payroll data has its own one year window after a Payroll cancellation, and Payments keeps the Merchant Service Center open to you for up to 12 months for reports, statements and tax forms.
  • On Desktop the software keeps working in a reduced form. Intuit states you can view reports but cannot create any transactions, for 1 year after the subscription ends, on the editions that support view-only mode.
  • Enterprise monthly plans can carry an exit cost. Intuit states that if you cancel an Enterprise Gold, Silver or Platinum monthly subscription after the first 60 days and prior to the end of month 12, a termination fee applies.
  • Intuit states that removing an Intuit mobile app from your device may not cancel your subscription or delete your data.

WHEN IT DOES NOT WORK

If you get stuck.

I cancelled QuickBooks Online but Intuit is still charging me

Almost always a second Intuit subscription. QuickBooks Payroll, QuickBooks Payments, QuickBooks Time and QuickBooks Self-Employed are separate products with their own cancellation routes: Payroll under Settings, then Subscriptions and billing, and Payments in the Merchant Service Center under Account, Account Profile, Close Account. Check Products and billing in the Intuit Account Manager for everything still active on the account.

I cannot find the cancel option

Three documented causes. The account may be suspended, and Intuit requires you to resubscribe or reactivate before you can cancel. The subscription may have been bought through the Apple App Store or Google Play, in which case Intuit states the steps vary by where you signed up and the cancellation happens in that store. Or it is a permissions problem: on Payments, Intuit states that if you cannot locate the Close Account option you should contact support, as it may indicate an issue with your admin status.

My QuickBooks went read-only and I did not cancel anything

Your accountant probably transferred billing to you. Intuit states that after a transfer, the client has read-only access to their QuickBooks company until they update their billing info. Add a payment method to restore full access, and expect a different price: Intuit states the rate will not match what the firm paid, because that included a ProAdvisor discount. The other cause is a declined card, where Intuit gives 14 days to update billing before the account suspends.

How long do I actually have to get my data out

One year from cancellation for QuickBooks Online, and Intuit states read-only access lets you export to Excel or to a desktop version of QuickBooks. A cancelled or expired trial gives 90 days. There is a way to extend it: Intuit states that if you hold multiple subscriptions, keeping at least one active preserves read-only access rather than running the clock down. Export early rather than relying on the deadline.

I was charged $150 after cancelling Payroll

That is the year-end filing fee rather than a subscription charge. Intuit states it will charge $150.00 if you request it to prepare year-end filings or W-2s. If you cancel partway through a payroll year and still need W-2s produced, that cost applies. Producing them before you cancel, or filing them yourself, is the way to avoid it.

I cannot work out which Intuit account is being billed

Intuit publishes a Find a Charge tool for exactly this, covering Desktop and Enterprise, QuickBooks Online, Self-Employed, Intuit QuickBooks Workforce, QuickBooks Time and Checks and Supplies. It states the tool shows charges processed on or after May 27, 2020. Use the card details from the statement to identify which Intuit account holds the subscription before trying to cancel.

GOOD TO KNOW

Questions, answered.

How do I cancel my QuickBooks Online subscription?

Sign in to the Intuit Account Manager at accounts.intuit.com, select Products and billing, then your company name, find the product and select Cancel, then follow the on-screen steps. Export your data first, because access becomes read-only afterwards.

What happens to my data when I cancel QuickBooks?

Intuit states you have read-only access to your QuickBooks Online data for one year, and that read-only access lets you export data to Excel or to a desktop version of QuickBooks. If you cancel during a free trial or let it expire, it states the data is available for 90 days.

Does cancelling QuickBooks Online cancel QuickBooks Payroll?

No. Payroll is a separate subscription cancelled under Settings, then Subscriptions and billing, in the Payroll section, followed by an online form. QuickBooks Payments is separate again and closed in the Merchant Service Center.

Can I get a refund from QuickBooks?

Intuit states that if you purchased a QuickBooks Desktop product or an annual QuickBooks Online subscription within the last 60 days you are eligible for a refund, and that the 60 day money-back guarantee does not apply to monthly QuickBooks Online subscriptions. It also states it does not provide refunds or credits for partial subscription periods.

Is the QuickBooks app on the App Store how I cancel?

No. The QuickBooks Workforce listing is an employee app for viewing pay information and tracking time, it sells no in-app purchases, and it does not bill the accounting subscription. A QuickBooks subscription bought through a store does need cancelling in that store, but the Workforce app is not where that happens.
