SOFTWARE & PRODUCTIVITYSubscription cancellation guide

How to cancel Calendly subscription.

On Calendly, cancelling means switching to the Free plan. Open the Billing page in the Admin Center, or Settings then Billing, click Change plan, choose Upgrade or Downgrade, and select the Free plan. Calendly states that once you confirm the change your subscription will switch at the end of your current billing cycle and you keep access to your paid features until then. Two things trip people up. Removing a person does not reduce the bill: Calendly states that removing a user does not remove their seat, because active seats stay on the account for easier replacements, so you have to remove the seat separately. And if you upgraded inside the Calendly iOS app, Apple billed you, and Calendly states it cannot update your payment method, change your plan or cancel your subscription for an App Store purchase.

Before you start.

  • Check your role. Calendly states that managing billing is available to Owners and Admins only, and that there is one Owner per account. An ordinary user cannot cancel.
  • Find out who took the payment. Calendly sells a single seat Standard plan as an in-app purchase in its iOS app, and states it cannot make changes to subscriptions bought through the Apple App Store: it cannot update your payment method, change your plan or cancel your subscription.
  • Removing a user is only half the job. Calendly states that removing a user does not remove their seat and that active seats stay on the account for easier replacements. You are billed for the number of seats, whether they are filled or not.
  • Timing is asymmetric. Calendly states that upgrades and added seats take effect right away, while downgrades and removed seats start at the end of your current billing cycle.
  • Know what the Free plan gives you: one event type and one calendar connection, plus one-on-one scheduling and a customisable booking page. Everything above that stops, so existing booking links beyond the first event type will not work.
  • Calendly states that payments are generally non-refundable as noted in its terms and conditions, though its support team may review special cases.
  • Legacy plans are a one-way door. Calendly states that if you cancel or your payment fails, you cannot return to a legacy plan, which covers the Essentials and Professional plans withdrawn to new customers in December 2024.
  • Everyone in an organisation shares one plan. Calendly states that all users in a Calendly organization must be on the same plan and that individual users cannot have different plans within the same organization.
  • On Enterprise or a customer-success-managed account, seat changes are not self-serve: Calendly directs you to your account manager.

FOLLOW THE RIGHT BILLING ROUTE

Cancel Calendly, step by step.

Switch to the Free plan

This is the cancellation on Calendly. There is no separate cancel button: you change plan and pick Free.

  1. Sign in as an Owner or Admin.
  2. Open the Billing page in the Admin Center, or go to Settings, then Billing.
  3. Click Change plan.
  4. Choose Upgrade or Downgrade.
  5. Select the Free plan and confirm.
  6. Check for the banner in Settings, then Billing, which Calendly states lets you cancel the downgrade if you change your mind.

Calendly states that once you confirm the change, your subscription will switch at the end of your current billing cycle and you retain access to your paid features until then.

Cancel a subscription bought in the Calendly iOS app

Calendly sells a single seat Standard plan through the App Store for solo users on the Free plan or a trial, and Apple owns that subscription completely.

  1. Open the Calendly iOS app, tap the Account icon, open Account, then Account Type.
  2. Or open the Settings app, tap your name, tap Subscriptions and select Calendly.
  3. Tap Cancel Subscription and confirm.
  4. Request any refund from Apple, since Calendly cannot process one for an App Store charge.
  5. If you want to add teammates or change plan, cancel the Apple subscription first and then upgrade again at calendly.com.

Calendly states it cannot make changes to subscriptions bought through the Apple App Store, listing specifically that it cannot update your payment method, change your plan or cancel your subscription. It also notes the in-app upgrade is for solo users on the Standard plan only and is not available in Canada.

Reduce seats instead of cancelling

The most common fix for an unexpectedly large Calendly bill, and the one people get half-right. It is two separate actions.

  1. Go to Settings, then People, then Active users, and click Remove on the people who no longer need access. This frees the seat but does not remove it.
  2. Then go to Settings, then Admin, then Billing, and use Remove seats to actually reduce the count.
  3. Note that Calendly states you cannot reduce your seat count below the number of users currently assigned, so do the removals in that order.
  4. Expect the saving at the end of the cycle: Calendly states removed seats start at the end of your current billing cycle.
  5. Cancel any outstanding invitations, since a seat is consumed when the invitation is sent and Calendly states invites never expire.

Calendly states that you are billed for the number of seats, whether they are filled or not, and that adding a seat charges a prorated amount based on your billing cycle. On Enterprise or managed accounts it states you should contact your Calendly account manager instead.

What happens next?

  • Paid features run to the end of the cycle. Calendly states your subscription switches at the end of your current billing cycle and you retain access to your paid features until then.
  • The Free plan allows one event type and one calendar connection. Booking links beyond the first event type stop working, which is what people notice first.
  • Automations, reminders, payment collection through Stripe or PayPal, multiple calendars and the integrations tied to paid tiers all stop.
  • Your configuration is not wiped. Calendly states that after cancelling an Apple-billed subscription you may temporarily lose access to some features and event types, but that your account configurations will be restored once you purchase a new paid plan.
  • Legacy plans do not come back. Calendly states that if you cancel or your payment fails, you cannot return to a legacy plan.
  • Calendly states that payments are generally non-refundable as noted in its terms and conditions, and that its support team may review special cases.
  • A missed payment is handled without mercy on timing. Calendly states there are no payment extensions, that your subscription may be paused or downgraded, and that it retries every 24 hours.
  • Deleting your account is separate and can destroy other people's meetings. Calendly states that if an owner deletes their account, all booked meetings from their event types, even those scheduled by others in the team, may be removed from the Calendar page, and that these events cannot be recovered in Calendly.

WHEN IT DOES NOT WORK

If you get stuck.

I removed users but my Calendly bill did not change

You did half the job, and Calendly documents the other half. It states that removing a user does not remove their seat, because active seats stay on the account for easier replacements, and that you are billed for the number of seats whether they are filled or not. Go to Settings, then Admin, then Billing, and use Remove seats. Calendly states you cannot reduce the seat count below the number of users currently assigned, so remove the users first.

I cannot cancel my subscription in the Calendly app

Apple is billing you. Calendly states it cannot make changes to subscriptions bought through the Apple App Store and lists exactly what it cannot do: update your payment method, change your plan or cancel your subscription. Cancel in Settings on your Apple device under your name, Subscriptions, Calendly, and ask Apple for any refund.

I am being charged more than once by Calendly

Calendly documents this case: you may see multiple charges if you have more than one paid Calendly account. That usually means two different sign-in emails, or membership of two organisations. Check each email address you might have used, since each account bills separately and cancelling one leaves the other running.

Most of my booking links broke after downgrading

The Free plan allows one event type and one calendar connection, so everything beyond the first event type stops taking bookings. Decide which single event type matters before the downgrade date and make sure it is the one that stays active, or upgrade again. Calendly states account configurations are restored when you purchase a new paid plan.

The account Owner has left the company

Only an Owner or an Admin can manage billing, so this needs an ownership transfer before anything can be cancelled. Calendly allows the Owner role to be transferred, and there is one Owner per account. Billing emails default to the owner's login email, and Calendly requires support to add a billing contact, asking for the last four digits of the card to verify.

I cancelled and cannot get my old plan back

If it was Essentials or Professional, it is gone. Calendly withdrew those legacy plans to new customers in December 2024 and states that if you cancel or your payment fails you cannot return to a legacy plan. The same applies after a failed payment, which is worth knowing before you let a card lapse deliberately.

GOOD TO KNOW

Questions, answered.

How do I cancel my Calendly subscription?

Switch to the Free plan. Open the Billing page in the Admin Center or Settings, then Billing, click Change plan, choose Upgrade or Downgrade and select Free. Calendly states the change takes effect at the end of your current billing cycle.

Does Calendly give refunds?

Calendly states that payments are generally non-refundable as noted in its terms and conditions, though its support team may review special cases. A subscription bought through the Apple App Store is refunded by Apple, since Calendly states it cannot make changes to those subscriptions.

Why is removing a Calendly user not reducing my bill?

Because the seat stays. Calendly states that removing a user does not remove their seat, as active seats stay on the account for easier replacements, and that you are billed for the number of seats whether they are filled or not. Remove the seats separately under Settings, Admin, Billing.

What do I keep on the free Calendly plan?

One event type and one calendar connection, plus one-on-one scheduling and a customisable booking page. Automations, reminders, payment collection, multiple calendars and team features stop, and booking links beyond the first event type no longer work.

What happens to my booked meetings if I delete my Calendly account?

More than you would expect. Calendly states that if an owner deletes their account, all booked meetings from their event types, even those scheduled by others in the team, may be removed from the Calendar page, and that these events cannot be recovered in Calendly. Downgrading to Free is the safer action.
