SOFTWARE & PRODUCTIVITYSubscription cancellation guide

How to cancel Miro subscription.

Switch to the team you want to change, click your profile avatar in the top-right, open Admin console or Settings, select Billing in the left sidebar, then under Billing actions click Cancel subscription and work through Continue to cancel, a reason, and the final Cancel subscription button. Miro states it does not offer refunds for any unused time on your subscription, and that if there is an unpaid invoice for additional licences at the time of cancellation your registered card is charged immediately for the outstanding amount. On the free plan the limit is three boards: Miro states that if your team already has more than 3 boards, the extra ones beyond your 3 most recent stay locked in a view-only mode, and that you do not get to choose which three, because they are always the 3 most recently created boards.

Before you start.

  • The subscription belongs to a team, not to you. Miro states a Miro subscription is associated with a specific team, not an individual user profile, so switch to the right team before you start.
  • Check your role. Miro states that Team admins, Billing admins and Company admins can cancel, and that only Admins or Billing Admins can initiate a plan downgrade. A non-admin sees a message prompting them to contact their administrator.
  • Work out which boards you will keep. Miro states that only your three most recently created boards will remain active and editable and that all other boards will become view-only, and that you cannot choose which three.
  • Private boards do not survive. Miro states the Free plan does not support private boards and that any existing private boards will be locked in view-only mode.
  • If you run several teams, expect a merge. Miro states that multiple teams are merged into one Free plan, that all Members, Guests and boards from all teams are merged, and that all Guests will be converted to Members. Guests are free while Members hold paid seats, so this raises the cost of any future upgrade.
  • Download invoices first. Miro states that your Billing settings section will be hidden after the downgrade, and recommends downloading any post-payment invoices before the downgrade completes.
  • Removing people is a two-step job. Miro states that billing is based on the total number of licences rather than team members, and that if you also remove the unallocated licences, that change takes effect on your next renewal date.
  • Miro states it does not offer refunds for any unused time on your subscription, and that an unpaid invoice for additional licences is charged to your card immediately when you cancel.

FOLLOW THE RIGHT BILLING ROUTE

Cancel Miro, step by step.

Cancel the subscription from the Admin console

This is the route for a Starter or Business plan. It stops the renewal and leaves the team on paid features until the period ends.

  1. Switch to the team whose subscription you want to cancel.
  2. Click your profile avatar in the top-right corner and open the Admin console or Settings.
  3. Select Billing in the left sidebar.
  4. In the Billing actions section, click Cancel subscription.
  5. Click Continue to cancel.
  6. On Business, select the Cancel subscription option and then the Cancel subscription button.
  7. Select a reason, click Continue to cancel, answer the optional question about switching to another tool, then click Cancel subscription to finish.

Miro states that if there is an unpaid invoice for additional licences at the time of cancellation, your registered card is charged immediately for the outstanding amount. Download your invoices before this completes, since Miro states the Billing settings section is hidden afterwards.

Downgrade to Free or to a smaller plan

On Miro, downgrading is cancelling and then choosing. Miro states the process involves cancelling your current subscription and then selecting a lower-tier plan once the current subscription period expires.

  1. Cancel the current subscription using the steps above.
  2. For Starter to Free or Business to Free: wait until the expiry date, when you are prompted to choose your new plan, and under Free plan click Downgrade.
  3. For Business to Starter: tick the checkboxes agreeing to the terms of service and to downgrading at the end of the cycle, then click Downgrade.
  4. Before the cycle ends, reduce the boards you care about to the three most recently created ones, or duplicate the ones you want to keep editable.
  5. If you change your mind, Miro states you can go to Admin console, then Billing, then Cancel downgrade before your billing cycle ends.

Miro states that reactivation and the official downgrade to Free is done by Team Admins on Starter and by Company Admins on Business, plus Billing Admins in both cases.

Reduce licences instead of cancelling

Worth doing when the team is still useful but too large. Miro bills licences rather than people, and the two are separate actions.

  1. Open the Admin console and review Active Users against the licence count.
  2. Remove the members who no longer need access.
  3. Then remove the unallocated licences as a separate step: removing the person alone does not remove the licence.
  4. Expect the saving at renewal: Miro states that if you also remove the unallocated licences, this change takes effect on your next renewal date.
  5. Convert collaborators who only need to view or comment into Guests or Visitors, which Miro states cost nothing extra.

Miro states that on a yearly plan, adding licences generates true-up invoices, and that true-up invoices apply only for adding licences on a yearly plan. Reductions never apply mid-term: an annual example Miro gives has five licences removed in August still billed until the December renewal date.

What happens next?

  • Paid features run to the end of the period. Miro states that when a plan expires it is paused and enters a view-only mode, and that your boards and data are not lost.
  • On Free, only three boards stay editable. Miro states that free teams can have up to 3 active boards, that extras beyond your 3 most recent stay locked in view-only mode, and that those are always the 3 most recently created boards.
  • Private boards are locked. Miro states the Free plan does not support private boards and that any existing private boards will be locked in view-only mode.
  • Projects and templates change. Miro states you will not be able to modify or delete your existing projects, and that custom templates will no longer be available.
  • Multiple teams merge into one, and Miro states all Guests will be converted to Members in the process. Since Members hold paid seats, that changes what a future upgrade costs.
  • Billing settings disappear from the interface, which is why Miro recommends downloading post-payment invoices before the downgrade completes.
  • Miro states it does not offer refunds for any unused time on your subscription. Boards remain exportable as image, PDF or CSV if you had editor access.

WHEN IT DOES NOT WORK

If you get stuck.

I cancelled and Miro charged me anyway

Two documented causes. Miro states that upon cancelling you may receive an additional prorated invoice for extra seats you added during the billing period. And it states that if there is an unpaid invoice for additional licences at the time of cancellation, your registered card is charged immediately for the outstanding amount. So a charge on the day you cancel is expected behaviour rather than a failed cancellation.

I removed people from the team but the bill did not change

Removing a person does not remove their licence. Miro states billing is based on the total number of licences rather than team members, and that if you also remove the unallocated licences, that change takes effect on your next renewal date. On a yearly plan there is no mid-term reduction at all: the licences sit unused until the renewal date and you are charged for the remaining ones then.

Most of my boards are view-only after downgrading

That is the free plan limit rather than a fault. Miro states that free teams can have up to 3 active boards and that if your team already has more, the extras beyond your 3 most recent stay locked in view-only mode. You cannot pick which three: Miro states they are always the 3 most recently created boards. Duplicating a board you need makes it recent, which unlocks it and locks another.

There is no cancel option in my Miro settings

You do not hold a billing role. Miro states that Team admins, Billing admins and Company admins can cancel, that only Admins or Billing Admins can initiate a downgrade, and that a non-admin sees a message prompting them to contact their administrator. Admins are listed in Active Users. Also check you are on the right team, since the subscription belongs to a specific team.

I am getting Miro billing emails for a subscription that is not mine

Miro documents this: your email address is either listed in the Billing settings or you hold an Admin role, and you might get billing emails for extra users added to your plan even if you did not add them yourself. Check the Billing settings contact list and the Admin console to see which of the two applies.

My team went view-only after a payment failed

Miro retries rather than cancelling instantly. It states that after a failed renewal it retries at 1, 7 and 14 days, that the team stays active during that window, and that the subscription is then cancelled and goes view-only. Separately it states that for a general payment failure it retries for 30 days, after which the plan becomes view-only until resolved. Update the card in Billing to restore editing.

GOOD TO KNOW

Questions, answered.

How do I cancel my Miro subscription?

Switch to the right team, click your profile avatar, open the Admin console or Settings, select Billing, then under Billing actions click Cancel subscription and work through the confirmation screens to the final Cancel subscription button.

What happens to my Miro boards on the free plan?

They stay but most become read-only. Miro states free teams can have up to 3 active boards, that the extras beyond your 3 most recently created boards stay locked in view-only mode, and that private boards are locked because the Free plan does not support them.

Does Miro refund an unused subscription?

Miro states it does not offer refunds for any unused time on your subscription. You keep the paid features until the period ends, and Miro states an unpaid invoice for additional licences is charged to your card immediately at cancellation.

Does removing a Miro member reduce my bill?

Not on its own. Miro bills licences rather than members, so you have to remove the unallocated licence as a second step, and Miro states that change takes effect on your next renewal date rather than immediately.

Can I cancel Miro through the App Store?

No. Miro's mobile app carries no in-app purchases, so Apple and Google Play do not bill the subscription. It is managed in the Admin console on the web whichever device you use.
