SOFTWARE & PRODUCTIVITYSubscription cancellation guide

How to cancel monday.com subscription.

Click your profile picture, open Administration, then Billing. In Overview, find the product, open its three-dot menu and select Cancel product, choose a reason, then select Cancel product plan and Cancel plan renewal. The deadline is the thing that costs money and monday.com states it plainly: if you are an existing customer and want to cancel at the end of your current term, you must give a 30-day notice before your subscription end date, and if notice is not provided your plan may auto-renew and you will be committed for the renewed term. Two more traps. monday.com states it does not automatically reduce your seat count when users are deactivated and that billing adjustments only take effect at your next renewal date. And seats are sold in buckets rather than singly: monday.com states pricing starts at a minimum of 3 seats and then ascends in multiples of 5, so a team of 6 pays for 10.

Before you start.

  • Check your renewal date first. monday.com's own instruction is to confirm your renewal date in Administration, then Billing, and that if your renewal is within the next 30 days you should submit your cancellation now to meet the notice requirement.
  • monday.com states that if you are an existing customer and want to cancel at the end of your current term you must give a 30-day notice before your subscription end date, and that without it your plan may auto-renew and commit you for the renewed term.
  • Note that the refund policy is not for you if you have renewed. monday.com states the cancellation and refund policy it publishes applies to net-new customers and does not apply to existing customers.
  • Know the difference between the two actions. monday.com states that cancelling a product turns off auto-renew so it ends at the current term's end, while closing your account ends access and requires cancelling all products first.
  • On a multi-product account, do them all. monday.com states your account cannot be fully closed or deleted until all purchased products have been cancelled.
  • Deactivating users does nothing to this bill. monday.com states it does not automatically reduce your seat count when users are deactivated, that this protects your account structure and pricing, and that billing adjustments only take effect at your next renewal date.
  • Seats come in buckets. monday.com states the pricing works per group of seats and not per seat, that plans start at a minimum of 3 seats and then ascend in multiples of 5, and gives the example that a team of 4 should choose the 5-seat option and a team of 6 needs the 10-seat plan.
  • Watch the guest ratio on Standard. monday.com states that on that plan every 4 guests count as 1 billed seat, so you can invite up to 3 guests for free, and crossing into a new group of four can trigger an upgrade.
  • If you pay by invoice you have no button. monday.com states that if your subscription is paid by wire transfer you cannot cancel it in the Administration section and should contact your account manager.
  • Only an admin can do this. monday.com states that only an admin can cancel an account and that if you are not an admin you should ask your account admin to assist.
  • Export before requesting a refund. monday.com states that when you cancel and initiate a refund your account access is blocked immediately, and advises exporting important information to a CSV before cancelling.

FOLLOW THE RIGHT BILLING ROUTE

Cancel monday.com, step by step.

Cancel a monday.com product plan

This is the route that stops the renewal while leaving you access to the end of the term. It is what most people want.

  1. Confirm your renewal date in Administration, then Billing, and act now if it falls within 30 days.
  2. Click your profile picture and open Administration.
  3. Select Billing in the left menu.
  4. In Overview, find the product you want to end and open its three-dot menu.
  5. Select Cancel product, then choose a reason.
  6. Select Cancel product plan, then Cancel plan renewal.
  7. Check for the red Plan cancelled banner and the end date, and repeat for every other product on the account.

monday.com states you can only cancel your account via the web browser or on an iOS device, and that a refund request must be completed on a web browser. The cancellation is reversible before the end date using Reactivate plan.

Close the account entirely

Only after every product is cancelled. It ends access rather than moving you to a free plan, and there is a seven day tail.

  1. Cancel every purchased product first: monday.com states the account cannot be fully closed or deleted until all of them are cancelled.
  2. Export the boards and data you want to keep.
  3. In Administration, then Billing, select Close your account.
  4. Select Close Account to confirm.
  5. Note what happens next: monday.com states the account moves to a free trial for 7 days, and that after the 7 days are up it becomes inactive and you and your team will no longer be able to sign in.
  6. If you want the Free plan rather than an inactive account, click "Not ready yet? Downgrade to our Free plan" when that 7 day trial expires.

monday.com states you will not be able to delete a product before its trial or subscription expires, which is why the delete option can appear greyed out.

Reduce the seat count or the plan tier

Worth doing when monday.com is still useful but the bucket is too big. The order of operations matters, because you cannot select a size smaller than your active users.

  1. Deactivate the users you no longer need, remembering this alone does not change the bill.
  2. Open Administration, then Billing, and use the three-dot menu on the product.
  3. Select Change team size, and pick the smaller bucket.
  4. If the smaller sizes are greyed out, deactivate more users first: monday.com states you must already have the same number of active seats or fewer than the target size.
  5. To move to a cheaper tier instead, use Change product plan.
  6. Expect it at renewal: monday.com states downgrades cannot take effect immediately and that all downgrades take effect at your plan renewal.

monday.com states that if you schedule a downgrade and then exceed the seat limit of your upcoming plan before the renewal date, your account will remain on the current plan until renewal.

What happens next?

  • Access runs to the end date shown in Billing. monday.com states that cancelling a product turns off auto-renew so it ends at the current term's end.
  • Closing the account has a tail rather than an immediate cut. monday.com states the account moves to a free trial for 7 days, then becomes inactive, and you and your team can no longer sign in.
  • Landing on the Free plan is a deliberate step. monday.com states the Free plan has a limit of two seats on the account, 3 boards for the entire account and 200 items, with no viewers or guests, and you must already be at or under the seat limit to move there.
  • monday.com states that new customers have 30 days from the initial purchase to request a refund and that it will refund the prorated portion of any unused time, and that this eligibility does not apply to monthly subscription renewals.
  • It states you are not eligible if you paid for a yearly account and more than 30 days have passed, if you paid for the renewal of a monthly subscription, or if you are an existing customer whose subscription has already renewed.
  • A refund ends access at once. monday.com states that when you cancel and initiate a refund your account access is blocked immediately, and that refunds arrive in 7 to 10 business days. A cancellation without a refund keeps access to the term end.
  • Your boards and data stay with the account until it goes inactive, so the export window is the term plus the seven day trial rather than indefinite.

WHEN IT DOES NOT WORK

If you get stuck.

monday.com renewed me even though I cancelled

Almost always the notice window. monday.com states that an existing customer must give a 30-day notice before the subscription end date, and that if notice is not provided the plan may auto-renew and commit you for the renewed term. It also states the published refund policy applies to net-new customers and does not apply to existing customers, so a renewal caught late is usually not recoverable.

I deactivated users and my bill is the same

That is by design and monday.com says so: it does not automatically reduce your seat count when users are deactivated, because this protects your account structure and pricing, and billing adjustments only take effect at your next renewal date. Deactivating is only step one. Use Change team size from the three-dot menu in Billing to actually reduce the bucket.

The smaller seat options are greyed out

You still have too many active users. monday.com states you must already have the same number of active seats or fewer than the target size, giving the example that moving from a 5-seat plan to 3 seats requires deactivating users until the account is at 3 seats or fewer. Deactivate first, then change the team size.

My plan upgraded itself and I was charged more

You crossed the seat bucket. monday.com states that an auto-upgrade happens when the number of paid seats is exceeded and no action is taken to remove the extra users, that a countdown of 5 days begins with warning emails at 5, 3 and 1 day, and that the account is then upgraded to the next bucket. Its example is an 11th user on a 10-seat plan pushing you to 15. Reverting is manual: monday.com states you have 30 days to revert to your previous plan and request a refund after removing the extra users, and that removing people does not automatically trigger a refund.

There is no cancel option in my Administration section

Two documented causes. monday.com states that only an admin can cancel an account and that a non-admin should ask their account admin. And it states that if your subscription is paid by wire transfer you cannot cancel it in the Administration section and must contact your account manager. It also states cancellation is only possible via a web browser or on an iOS device.

I closed my account but my team can still sign in

The seven day tail is running. monday.com states that after closing, the account moves to a free trial for 7 days and only becomes inactive afterwards, at which point nobody can sign in. If you meant to keep a free workspace instead of losing access, use the "Not ready yet? Downgrade to our Free plan" link when the trial expires, and note the Free plan allows two seats, three boards and 200 items.
