In this guide
Before you start.
- Check your role. ClickUp states you must be an owner or admin to upgrade or downgrade a Workspace, switch billing cycles or contact it with billing questions, and that only the Workspace owner or an admin can manage billing or discuss billing information with Customer Support. Each Workspace has one owner, though ownership can be transferred.
- On an annual plan, count back thirty days from your renewal. ClickUp's terms state that you must provide notice of any downgrades or cancellations, including full cancellations, reductions in user counts, changes to your services packages or the discontinuation of any add-ons or upgrades, at least thirty days prior to your renewal date, or the services automatically renew for an additional twelve month period.
- Count your Workspaces, not just your account. ClickUp states you can create as many Workspaces as you want and that each Workspace must be individually upgraded from Free Forever to use paid plan features. One login can carry several separately billed paid Workspaces.
- List your add-ons before you cancel the plan. ClickUp states that add-ons are independent of your plan and that you must manually add and remove them. Brain AI, AI Super Credits, AI Talk to Text, the AI Notetaker, extra Automation Actions and ClickUp Assist each renew on their own.
- Brain AI is charged per Workspace. ClickUp states that if you have multiple Workspaces you need to purchase Brain AI for each one, which means cancelling it in each one too.
- Removing a member does not free the money this cycle. ClickUp states the seat remains open until filled by another person, that a new invitee automatically takes the vacant seat, and that if no one is assigned that seat before your next billing cycle begins it will be removed.
- Worse, an open seat can still be charged for an add-on. ClickUp states that if you have an open seat from removing a member during your billing cycle and you then purchase Brain AI, you are charged for that seat, since a new member can fill it.
- Removing someone destroys their private content. ClickUp states that removing someone from your Workspace is a permanent action that cannot be undone, and that private Folders, Lists and tasks owned by a deactivated person will be deleted and removed when they leave the Workspace.
- Note the refund window. ClickUp states it offers a 30-day satisfaction guarantee for new customers including add-ons purchased as part of a paid plan, that you can request a full refund within 30 days of purchasing your first paid plan subscription, and that after 30 days it will not be able to offer a refund.
- Check your storage before you plan to land on Free Forever. ClickUp's storage limits article states Free Forever gives 60MB of Workspace storage against unlimited on all paid plans. Its upgrade article states 100 MB instead, so treat 60MB as the figure to work to.
- Feature limits do not reset on the free tier. ClickUp states that feature usage limits do not reset and that if you reach a limit on your current plan you will need to upgrade to continue using the feature, though data created using that feature is not impacted.
- Nothing is deleted when you go over a limit. ClickUp states that when you hit a usage limit, data created using that feature is not impacted, and that you will not be able to edit or add new information using the feature until your Workspace is upgraded.
- ClickUp's terms add exclusions its help page omits: it states the satisfaction guarantee does not apply to services bought through a sales representative or reseller, to renewals or expansions, or where you completed a pilot or trial period before the initial purchase.
FOLLOW THE RIGHT BILLING ROUTE
Cancel ClickUp, step by step.
Downgrade or cancel the Workspace plan
This is the main route, and on ClickUp the same control handles both the downgrade and the cancellation.
- On an annual plan, act at least thirty days before your renewal date, since ClickUp's terms treat a cancellation, a seat reduction or dropping an add-on as a downgrade needing that notice.
- Cancel your add-ons first, since ClickUp states they are independent of the plan and must be removed manually.
- Click your Workspace avatar in the upper-left corner.
- Select Settings.
- Select Billing in the All settings sidebar.
- Click Downgrade or Cancel plan.
- Follow the prompts to confirm, and note the end date of the current billing cycle.
- Repeat for any other paid Workspace under the same login.
ClickUp states that when you downgrade, your Workspace will switch to the new plan at the end of your billing cycle, and that all your data will remain in the Workspace and can be accessed if you upgrade again. Its terms state that without thirty days notice an annual plan renews for an additional twelve month period.
Cancel ClickUp add-ons separately
The charge people miss. Add-ons survive a plan change and renew on their own schedule.
- Click your Workspace avatar and select Settings.
- Select Plans.
- Open the Add-ons tab.
- Click Cancel on the add-on you want to stop.
- Click Yes, cancel add-on to confirm.
- Repeat in every Workspace that has the add-on, since Brain AI is purchased per Workspace.
ClickUp states that owners and admins can cancel auto-renewal of their add-ons while retaining their paid plan features until the end of their billing cycle, so stopping an add-on does not end the plan.
Cut seats instead of downgrading
Worth understanding before you remove anyone, because the timing and the data consequences are both unusual.
- On an annual plan, give notice at least thirty days before renewal: ClickUp's terms count a reduction in user counts as a downgrade requiring that notice.
- Identify who is billable: ClickUp charges a subscription fee for owners, admins, members, limited members and permission controlled guests, and assigns one seat to each user in the Workspace.
- Check whether guests solve the problem instead: ClickUp states Unlimited gives 5 permission controlled guest seats for a one-member Workspace plus 2 per member invited, and Business and above give 10 plus 5 per member.
- Transfer any private Folders, Lists and tasks owned by the person first: ClickUp states these are deleted and removed when they leave the Workspace.
- Remove the member, accepting that ClickUp states this is permanent and cannot be undone.
- Do not expect the saving now: ClickUp states the seat remains open until filled, and that it is removed only if nobody is assigned to it before your next billing cycle begins.
- Avoid buying add-ons while a seat is open, since ClickUp states you are charged for that seat.
ClickUp states that if you run out of permission controlled guests and invite a guest with permissions, a paid member seat is added. Upgrades are prorated and immediate, while downgrades wait for the cycle end with no proration.
What happens next?
- The paid plan runs to the end of the cycle. ClickUp states your Workspace switches to the new plan at the end of your billing cycle.
- Your data stays. ClickUp states that all your data will remain in the Workspace and can be accessed if you upgrade again, so a downgrade is not a deletion.
- Storage is the binding limit on Free Forever. ClickUp's storage limits article states Free Forever provides 60MB of Workspace storage while all paid plans are unlimited. A separate ClickUp article gives 100 MB, so plan against the lower figure.
- Over-limit features go read-only rather than losing data. ClickUp states that feature usage limits do not reset, that when you hit a usage limit the data created using that feature is not impacted, and that you cannot edit or add new information using that feature until the Workspace is upgraded.
- Add-ons keep billing unless you cancelled each one, because ClickUp states they are independent of your plan and must be removed manually.
- ClickUp states it offers a 30-day satisfaction guarantee for new customers, that you can request a full refund within 30 days of purchasing your first paid plan subscription, that after 30 days no refund is available, and that all paid plan subscriptions automatically renew at the end of the billing cycle.
- Billing cycle changes are not self-serve. ClickUp states you cannot mix yearly and monthly licences within the same Workspace, that to switch you should contact Support, and that you will be charged for the next 12 months when your plan renews.
- Annual plans renew hard. ClickUp's terms state that without notice at least thirty days before the renewal date, the services automatically renew for an additional twelve month period.
- Invoices get harder to reach afterwards. ClickUp tells people to contact Support if they have downgraded to Free Forever from a paid plan and need their paid plan invoices, so download them first.
- Deleted items are recoverable for a while. ClickUp states items remain in the Trash for 30 days before being permanently deleted, and that Trash items do not count against storage unless restored.
WHEN IT DOES NOT WORK
If you get stuck.
I removed a member and the bill did not go down
ClickUp states the seat remains open until filled by another person, that a new invitee automatically takes the vacant seat, and that if nobody is assigned to it before your next billing cycle begins it will be removed. So the saving lands at the cycle boundary rather than when you remove the person, and in the meantime you are paying for an empty seat.
My annual ClickUp plan renewed for another year
The notice window closed. ClickUp's terms state that on an annual plan you must provide notice of any downgrades or cancellations, including full cancellations, reductions in user counts, changes to your services packages or the discontinuation of add-ons, at least thirty days prior to your renewal date, or the services automatically renew for an additional twelve month period. Cancelling inside the final thirty days stops the renewal after next, not this one.
I cancelled my plan but ClickUp keeps charging me
Two likely causes. Add-ons are separate: ClickUp states they are independent of your plan and that you must manually add and remove them, so Brain AI and the rest renew on their own until cancelled under Settings, Plans, Add-ons. The other is a second Workspace: ClickUp states each Workspace must be individually upgraded, so one login can hold several separately billed paid Workspaces and cancelling one leaves the others running.
I was charged for a seat nobody is using
ClickUp documents this exact case for add-ons: if you have an open seat because you removed a member during the billing cycle, and you then purchase Brain AI, you are charged for that seat, since a new member can fill it. Wait until the seat clears at the next cycle before buying add-ons, or fill the seat first.
There is no Billing option in my ClickUp settings
You are not an owner or admin. ClickUp states you must be an owner or admin to upgrade or downgrade a Workspace or switch billing cycles, and that only the Workspace owner or an admin can manage billing or even discuss billing information with Customer Support. There is one owner per Workspace, and ownership can be transferred.
Someone's tasks disappeared after I removed them
ClickUp warns about this rather than it being a fault: it states that removing someone from your Workspace is a permanent action that cannot be undone, and that private Folders, Lists and tasks owned by a deactivated person will be deleted and removed when they leave the Workspace. Move anything private into a shared location before removing the person, not after.
I cannot downgrade because of storage
Free Forever caps Workspace storage. ClickUp's storage limits article states Free Forever provides 60MB against unlimited on paid plans, while its upgrade article says 100 MB, so work to the lower number. Delete or export large attachments and Clip recordings to get under it. Note Trash does not count against storage unless you restore items, and ClickUp states items stay in the Trash for 30 days before being permanently deleted.
ClickUp refused my refund even though it was within 30 days
Check the exclusions in ClickUp's terms, which its help page does not mention. It states the satisfaction guarantee does not apply to services initially purchased through or with the assistance of a sales representative or reseller, to renewals or expansions of previously purchased services, or where you completed a pilot or trial period before the initial purchase. A trial before buying is the one that catches most people.
Still not cancelled?Common reasons a subscription will not cancel
GOOD TO KNOW
Questions, answered.
How do I cancel my ClickUp subscription?
Click your Workspace avatar in the upper-left corner, open Settings, select Billing in the sidebar, then click Downgrade or Cancel plan. ClickUp states the change takes effect at the end of your billing cycle and your data remains in the Workspace.
Does ClickUp give refunds?
ClickUp states it offers a 30-day satisfaction guarantee for new customers and that you can request a full refund within 30 days of your first paid plan subscription. Its terms add exclusions the help page omits: no guarantee on purchases made through a sales representative or reseller, on renewals or expansions, or where you completed a trial before the initial purchase.
Does removing a ClickUp member lower my bill?
Not this cycle. ClickUp states the seat remains open until filled by another person, and that it is removed only if nobody is assigned to it before the next billing cycle begins.
Do ClickUp add-ons stop when I cancel the plan?
No. ClickUp states that add-ons are independent of your plan and that you must manually add and remove them. Cancel each one under Settings, Plans, then the Add-ons tab, and repeat in every Workspace, since Brain AI is purchased per Workspace.
What happens to my data on ClickUp Free Forever?
It stays. ClickUp states all your data remains in the Workspace and can be accessed if you upgrade again, and that hitting a usage limit does not impact data already created, you simply cannot edit or add using that feature. The constraint is storage: ClickUp's storage limits article gives Free Forever 60MB.
How much notice does an annual ClickUp plan need?
Thirty days. ClickUp's terms state that on an annual plan you must give notice of any downgrades or cancellations, including reductions in user counts and dropping add-ons, at least thirty days prior to your renewal date, or the services renew for another twelve months.
